Privacy Policy

This Privacy Policy explains how ClassPulse collects, uses, and protects personal information when you use our platform at classpulse.pro, including the studio admin dashboard, the parent portal, and our mobile apps.

1. Who we are

ClassPulse (“ClassPulse,” “we,” “us,” or “our”) is a studio management platform founded by Brad Crump and based in the Madison, Wisconsin area. ClassPulse lets activity studios — swim schools, gymnastics gyms, dance studios, martial arts dojos, music academies, and similar businesses — manage classes, scheduling, enrollment, billing, attendance, and communication, and lets parents register and pay through a parent portal and mobile apps.

2. Our role: controller and processor

ClassPulse serves two audiences, and our role differs for each. For the account information of studio owners, staff, and parents who sign up directly with us — names, email addresses, login credentials, subscription billing details — ClassPulse acts as the data controller.

For the customer data a studio enters or collects through the platform — its families, students, enrollments, attendance records, payments, and messages — the studio is the data controller and ClassPulse acts as a data processor on the studio's behalf. Each studio decides what information it collects from its families and why; we store and process that information under the studio's instructions.

3. Information we collect

We collect the following categories of information:

Account information. When a studio owner, staff member, or parent creates an account, we collect a name, email address, and password (stored hashed). Studios also provide business details such as the studio name, address, and contact information.

Studio-entered data. Studios and parents enter information needed to run and attend classes: family and student names, birthdates, enrollment and attendance records, skill progress, and any medical or emergency notes a parent chooses to add.

Payment information. Payment card details are entered directly into fields hosted by Stripe, our payment processor. ClassPulse never stores or transmits full card numbers — see Section 6.

Usage and log data. Like most web services, our servers record technical information such as IP addresses, browser type, and timestamps when you use the platform, which we use for security, troubleshooting, and keeping the service reliable.

4. Children's privacy

ClassPulse account holders are adults: studio staff and parents/guardians. Information about children — such as a child's name, birthdate, skill progress, attendance, or medical notes a parent chooses to add — is entered by the parent/guardian or by the studio, not collected directly from children. ClassPulse does not knowingly collect personal information directly from children under 13.

Where a studio enables limited student login access (for example, so a student can view assigned workouts), that access is created and consented to by the parent or guardian. If you believe a child has provided personal information to us directly, contact hello@classpulse.pro and we will delete it.

5. How we use information

We use the information we collect to:

Provide and operate the platform — running class schedules, enrollments, billing, attendance, and communication for studios and their families; process payments and subscription billing; send transactional messages such as enrollment confirmations, payment receipts, and class reminders on behalf of studios; secure accounts, prevent fraud and abuse, and troubleshoot problems; and improve the product based on how it is used.

We do not use studio or family data for advertising, and we do not sell personal information.

6. Payment information

All payment processing runs through Stripe. Each studio operates as its own Stripe connected account and is the merchant of record for tuition payments from its families. When a parent pays, card details are entered directly into Stripe-hosted fields; the card number never touches ClassPulse servers. This means ClassPulse never stores or transmits full card numbers, and our PCI compliance scope is minimized accordingly. Stripe's handling of payment data is governed by its own privacy policy.

7. Cookies and analytics

ClassPulse's own site and application use only essential cookies: authentication/session cookies that keep you signed in and CSRF cookies that protect forms from forgery. There are no advertising trackers on classpulse.pro.

Individual studios may configure their own Google Analytics or Google Tag Manager on their public studio pages. That tracking is set up and governed by the studio, and ClassPulse acts as a processor for it. If you have questions about analytics on a specific studio's pages, contact that studio.

8. How we share information: subprocessors

We do not sell personal information. We share information only with service providers (subprocessors) that help us run the platform, each bound to use the data only to provide their service to us:

Stripe — payment processing. Google Cloud — application hosting and database infrastructure. Resend — transactional email delivery. Twilio — SMS delivery. Inngest — background job processing.

We may also disclose information if required by law, or as part of a merger, acquisition, or sale of assets, in which case this policy would continue to apply to the transferred data.

9. Data storage and security

ClassPulse is hosted on Google Cloud (Cloud Run and Cloud SQL). Each studio's data lives in its own isolated PostgreSQL schema — schema-per-tenant isolation — so one studio's data is separated from every other studio's at the database level. Data is encrypted in transit using TLS and at rest using managed database encryption.

We maintain automated backups of the database. Access to production systems is restricted through role-based access control, and ClassPulse accounts support optional two-factor authentication (TOTP). See our Security page for more detail.

10. Data retention

We keep your data for as long as your account is active. After an account is closed, associated data is deleted or anonymized within a defined window following closure, except where we are legally required to retain certain records (for example, financial records related to payments). Studios can export their data before closing an account — see Section 11.

11. Data ownership and export

Your studio's data belongs to your studio. CSV exports are available in the reporting section at any time, and on cancellation a studio can export its data before the account is closed. Deletion requests are honored via email to hello@classpulse.pro.

12. Your rights under GDPR

If you are in the European Economic Area or the United Kingdom, you have the right to access, rectify, and erase your personal data, the right to data portability, and the right to restrict or object to certain processing.

Because studios are the controllers of the data they enter about their families, parents should contact their studio first to exercise these rights over studio-entered data — ClassPulse will assist the studio in fulfilling the request. 13. California privacy rights (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect and how we use it, the right to delete personal information, the right to correct inaccurate information, and the right not to be discriminated against for exercising these rights. ClassPulse does not sell personal information and does not share it for cross-context behavioral advertising. To exercise these rights, email hello@classpulse.pro.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and notify studios through the platform or by email. Continued use of ClassPulse after changes take effect constitutes acceptance of the updated policy.
